  • How to Process Quarterly Owners

We are going to be drilling some new wells. The people involved want to have monthly statements, checks, etc. All of our other royalties we are sending out on a quarterly basis at this time and would like to keep it that way. In your program how would we make this happen? Can we process quarterly for some and monthly for others?

On the Codes tab of the Owner Information screen you can choose an owner's disbursement frequency. For the owners that you are going to pay quarterly you can change the frequency for them. Leave all of the others as monthly.

If an owner is marked as quarterly, they will receive one check every quarter. A check will be created for the owner in March, June, September and December.

I only pay Royalty and Override on a quarterly basis. In order for the checks to calculate and print for the entire period of Jan, Feb & March, should I close each month separately? Will the checks total the 3 months together in one check? Or should I close at the end of March for all three months and will the Royalty & Override total the 3 months?

You can do it a couple of ways. It's up to you how you want to handle it, since each way has benefits and drawbacks to it.
You can just close once each quarter, and have it include all the entries for each quarter, but be aware that this will be affecting the working interest owners, too.

Alternately, you can close each month, and the quarterly owners will only be processed when there is a check date that falls in March, June, September or December. The downside of doing that is that you will have to print the previous months' statements to send with the check as verification for the entire quarter's activity, since the first two months of the quarter will be getting placed into suspense for those owners. The statements will show suspense being released when they earn a check, but it won't be providing the detail of what that suspense was.
