Creating a Detailed Custom Rec Report in QuickBooks
A custom report can be created in QuickBooks to assist in reconciling the suspense accounts. The report explained here will display all activity that posted to either of the suspense accounts. The transactions will be totaled by customer (owner) and then sorted by class (well). This report will match the suspense report in SherWare.
In QuickBooks, go to the Reports Menu, and choose Custom Transaction Detail Report. This will bring up a "Modify Report" window where you will specify the criteria for this custom report.
Columns: (Columns Tab) The following should be marked: (left margin), Type, Date, Num, Name, Memo, Class, Split, Debit, Credit, Balance. All other columns should be unchecked.
Total By: (Display Tab) "Customer" should be selected.
Sort By: (Display Tab) "Class" should be selected.
Filter: (Filters Tab) Select "Multiple Accounts" from the account drop down. A separate window will appear that allows you to select the accounts. Select the accounts that you are using for both your deficit and legal suspense. Generally these are named "Legal Suspense" and "Deficit Suspense" but sometimes they were originally setup with a different name if you chose to do so at the time. You can look at the Preference in SherWare to see what accounts you are using for both your "Legal Suspense Account" and "Deficit Account". A separate report will need to be created for each of these two accounts.
Preview: Once the above fields are specified you can click OK to preview the report on the screen.
Memorize: Click on the "Memorize…" button near the top left corner of the report preview. This will allow you to save the report setup so you don't have to go through the setup process again. Save the report with a name that you will recognize as the report to use for your reconciliations. I suggest "Legal Suspense Reconciliation Report" and "Deficit Suspense Reconciliation Report". Once the reports are memorized you can quickly access them anytime from the Reports menu in QuickBooks by selecting Memorized Reports.
