  • When to Archive Data

    If we decide to archive some of the data, I assume that this should be done when no one else is on the system at night or on a weekend, I want to also be sure that all of the production data will still be there, just the support modules will be condensed. Is my assumption correct?

    Yes, you are correct that if you choose to archive a closed year it should be done while everyone else is closed out of the software.

    Archiving removes detailed information from data tables, leaving only summarized information behind. Once archived, detailed information CANNOT be retrieved for this year unless the un-archive utility is used.
    Archiving data from a closed year will do the following:

    • Summarizes G/L by journal type and period
    • Removes paid bills
    • Removes well history for the given year
    • Removes owner history for the given year
    • Removes paid invoices

    This will archive the calendar year entered.

    After Archiving, be sure to re-index with the option marked to "Pack."

    Archiving creates a single summarized entry for each well and owner for the year. The entries are not associated with any particular run, so you won't be able to run any reports by month or run, but the totals for the year should be correct. We recommend that you create a backup of your data prior to archiving a closed year.
