Upgrading from a Prior Version
Upgrading From A Prior Disbursement and JIB Manager (Integrated Edition) Version
This information is only to be used when upgrading from a prior Disbursement and JIB Manager Integrated Edition version. If you are on the current version and just want to make sure your software is up to date, refer to the patching section.
The Disbursement and JIB Manager will upgrade prior Disbursement and JIB Manager files into a format suitable for it to use. This process will not modify the existing version data files. The prior version data files will remain unchanged. The conversion process makes a copy of the prior data files and changes the new copy. This should only be done if your files are at version 2.9b or earlier. If you are on version 3 or later, the upgrade will be done automatically for you after installing a new version.
To start the conversion process, choose Convert Prior Version Data Files from the File menu.
The system needs three pieces of information in order to convert the prior version data files to the new version. It needs to know where the prior version of the Disbursement and JIB Manager's company master file is stored. This file contains the company information for each company set up in the Disbursement and JIB Manager. Second, it needs to know which company should be converted. It builds the list of companies available to be converted from the information it finds in the old company master file. Lastly, it needs to know where the new data files should be stored. This will most usually be a sub-folder of the new Disbursement and JIB Manager installation folder.
Once these three pieces of information have been provided, the Convert button should be pressed. This starts the conversion process.
The steps the conversion will go through are:
1. Create the new empty data files in the location specified in the Data Path for New Files.
2. Get a count of the number of records to convert.
3. Warn about the lengthy conversion process and give the number of records that will be converted.
4. Convert the data.
If the system detects that there are data files already residing in the location specified for the new files, it will warn you of such and ask if is alright to upgrade those existing files. A company's data files can be converted more than once. The system will just overwrite the existing files when it does the conversion again.
Once the conversion is completed, the system will open the new company's data files.
Note: The data files can be stored on a server by specifying the location of the server folder to store them in. The location can be specified by using a mapped drive letter or by using the universal network path such as: \\Server\C-Drive\Data\SherData
PLEASE BE AWARE THAT CONVERSION ACROSS A NETWORK CAN BE SLOW.
